Privacy Policy

How SchedulerZone collects, uses and protects information about our clients, their staff and their customers. Effective October 24, 2026.

Who we are

SchedulerZone is scheduling and business software for landscaping and field-service companies. It is run by SchedulerZone LLC, based in Reno, Nevada, USA (“SchedulerZone”, “we”, “us”).

This policy covers:

  • Clients: businesses registered with SchedulerZone, and their owners, office staff and crew members who use our website, web app and mobile app.
  • Customers: people who ask one of our clients for services, such as lawn mowing or hedge trimming, including people who text a client’s number, use the customer portal or mobile app, or open a link we send on a client’s behalf.

When we handle a customer’s information, we do it to provide the service our client asked us to provide. Questions about how a particular client uses your information can also go to that client directly.

Information we collect

About customers (entered by a client, sent by the customer, or created while we provide the service):

  • Name, phone number, email address and preferred language
  • Service addresses and property details, including notes such as gate codes and access instructions, and map coordinates for those addresses
  • Service requests, quotes, scheduled and completed visits, checklists, and before/after photos of the work
  • Invoices, payments and payment status (card details are handled by our payment processor, not stored by us)
  • Text messages and chat messages exchanged with the client, and records of texts and emails we send on the client’s behalf
  • Quote approvals, including the name typed to approve, the time, and the IP address
  • Customer portal and app sign-ins, including one-time codes sent by text and links sent by email

About clients and their staff:

  • Account details: name, email, phone, role, and business details
  • Work records: time on each job, receipts and photos uploaded from the field, and messages between staff
  • Crew location while a crew member is on the clock in the mobile app, used to show crews on the office’s map. We keep these location points for 7 days.
  • Questions asked to the in-app AI assistant and its answers

From any visitor to our website or apps:

  • Pages visited, device and browser information, and IP address, collected with first-party cookies and analytics
  • Records of sign-ins and changes made in the app, kept for security and auditing

How we use information

We use information only to run, secure and improve SchedulerZone:

  • Schedule, dispatch and complete the work a customer asked for
  • Send customers service messages: visit confirmations, “work started” notices, recurring service set-up messages, links to view a visit or approve a quote, invoices, and sign-in links or codes
  • Reply to customers who text a client’s number, including automated replies that collect the details of a service request
  • Take and record payments for invoices
  • Let clients’ staff and crews see the jobs, customers and messages they need, in their own language
  • Provide the AI assistant, automated text replies and translations
  • Keep accounts secure, prevent abuse, and keep audit records
  • Answer support requests and fix problems

We do not sell personal information, and we do not use customers’ information to market our own products to them.

Text messages (SMS) and your consent

SchedulerZone sends text messages on behalf of our clients to their customers. A customer receives texts because they gave their mobile number to the client when requesting service, or because they texted the client’s number first.

SchedulerZone also runs a demo line, (978) 797-0863. If you text it to try our texting assistant, we reply to you about your request.

These texts are about the customer’s own service: visit confirmations and updates, quotes, invoices, sign-in links and codes, and replies to messages the customer sent. Message frequency varies with the customer’s activity. Message and data rates may apply.

You can opt out at any time by replying STOP to any message. Reply HELP for help. After you reply STOP, we will send one message confirming you are unsubscribed and no further texts.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Text messaging originator opt-in data and consent are not shared with any third parties, except the service providers that deliver our text messages (see below), which may not use it for their own purposes.

Who we share information with

The client you requested service from. A customer’s information is visible to the client they asked for service, and to that client’s staff and crew, who use it to quote, schedule and do the work. Clients are responsible for how they use it.

Service providers. We use the companies below to run SchedulerZone. They receive only what they need to do their job for us, and may not use it for their own purposes.

  • Twilio: sends and receives text messages and sign-in codes
  • Postmark: sends email
  • Stripe: processes card payments (card numbers go straight to Stripe; we never store them)
  • DigitalOcean and Cloud 66: hosting, databases and file storage
  • Anthropic: the AI assistant, English ↔ Spanish translation of messages, and suggested replies to texts
  • OpenAI: searching help articles for the AI assistant
  • Microsoft: text-to-speech when a user plays an assistant answer aloud
  • Google Maps: maps shown in the app
  • OpenStreetMap (Nominatim): turning service addresses into map locations
  • Expo: delivering push notifications to the mobile app
  • Intuit QuickBooks: only when a client connects their QuickBooks account, to sync invoices and customer records

When the law requires it. We may disclose information if required by law or legal process, or to protect the rights, property or safety of SchedulerZone, our users or others.

If SchedulerZone is sold or merged. Information may transfer to the new owner, who must keep honoring this policy.

We do not sell personal information, and we do not share it for targeted advertising.

How long we keep information

We keep information for as long as the client’s account is active and as needed to provide the service. When a client closes their account, we delete or anonymize their data and their customers’ data within 90 days, except what we must keep for legal, tax or accounting reasons. Some data has a shorter life:

  • Crew location while on the clock is deleted after 7 days.
  • Sign-in and change history is kept for the period the client chooses in their settings.

How we protect information

All connections to SchedulerZone are encrypted (HTTPS). Passwords are stored hashed, uploaded files are kept in private storage, and staff see only what their role allows. No system is perfectly secure, but we work to protect your information and will notify affected users of a breach as the law requires.

Your choices

  • Texts: reply STOP to any message to stop receiving texts.
  • Your information: you can ask to see, correct or delete your personal information. Customers can contact the client who serves them, or us; staff can update their profile in the app. We may need to verify your identity, and we will respond within the time the law requires. Because we hold customer information on behalf of clients, we may pass a customer’s request to that client.
  • Language: customers can switch between English and Spanish in the customer portal.
  • Cookies: you can block or delete cookies in your browser, but sign-in will not work without them.

Children

SchedulerZone is not meant for children under 13, and we do not knowingly collect their information. If you believe a child has given us information, contact us and we will delete it.

Changes to this policy

If we change this policy, we will post the new version here with a new effective date. If the changes are significant, we will also tell clients by email or in the app.
